Wedding planners-do your preliminary work over the phone

A wedding planner’s time always seems to be in short supply. Every little detail is in your control and that means you have to be very conscious of how you use your time. One way to increase productivity is by doing as much work as you can over the phone.

Part of the job of a wedding planner is to meet with vendors and to scout out the locations that the clients are thinking of holding the wedding at. This, of course, means that you need to go out to these venues, take pictures, and meet with vendors to discuss quotes on their products and services, right? Wrong!

The wedding planner should be able to use their time efficiently and by going out to meet with vendors right away, is the wrong way to do business effectively. First, get on the phone and call the vendor or site owner. Discuss with them the general details of what your client is looking for. Maybe they can give you a quote over the phone and that’s great, but eventually you are going to want to meet with these people to get a better idea of how they operate.

What you are really looking for in this initial call are a couple of things. First, you want to see how receptive they are to working with you. Does the vendor seem excited with the project or do they seem desperate? Maybe they are very distant and possibly even rude. You can get a good feel for the type of person and the business they handle just by talking with them for a few minutes.

Here are a few details that you should always get while on the phone with the vendor or site owner.

Get the name of the person you are speaking to and their title. Sometimes it just so happens that you are talking to one of the cooks at a catering company and not the owner. It would be quite an embarrassment showing up and asking for the cook instead of the owner.

When talking to a site owner make sure you can confirm the date and find out if a wedding or reception is also booked for the same day. If there is, find out how much set up time they require in between the two events.

Remember, that your time is valuable and in order to succeed as a wedding planner you must be efficient in everything that you do.
